The portal removes HR from the middle of routine requests. Employees see their own payslips, submit leave requests and update their details — and they only ever see their own data.
Invite an employee
- Open the employee under HR → Employees.
- Click Send invitation.
- They receive an email with an activation link, valid for 7 days.
The employee needs an email address on their record. Without one, the invitation cannot be sent.
What the invitation does
The link lets them set a password and activate their account. Until then the invitation shows as pending. Resending generates a new link and invalidates the previous one.
If the address already has an account, they are asked to sign in instead.
What employees can do
- My payslips — download their own generated payslips.
- My leave — view leave history and submit new requests.
- My profile — keep personal and contact details current.
What employees cannot do
They cannot see other employees, payroll runs, reports, company settings, or the team-scoped Djib-AI assistant. Portal access is enforced by middleware that resolves the signed-in user to exactly one employee record on the team.
Leave requests
A submitted request is recorded for review. An administrator approves or rejects it, and the employee is notified — by email, and by WhatsApp if configured.
Approved leave feeds the next payroll run automatically, following the paid or unpaid setting for that leave type.
Common questions
The invitation expired. Send a new one. Expired links cannot be reused.
Portal is not available on my subscription. The portal is a plan feature. The invitation button reports this if your plan does not include it.
An employee says they see nothing. Their user account is probably not linked to an employee record on this team. Re-send the invitation from the employee record itself.
