Adding employees

Create employee records with the matricule, contract and salary details every payroll run depends on.

The employee record is the foundation of every calculation. Each employee becomes one row that every payroll run references.

Create an employee

  1. Go to HR → Employees.
  2. Click Add employee.
  3. Complete the sections below.
  4. Click Create.

Personal information

Name, date of birth, national ID number, address, phone and email.

The email matters more than it looks: it is how the employee receives a portal invitation, and how they get payslip notifications. An employee without an email cannot be invited to the portal.

Employment

  • Matricule — your internal employee number. It appears on payslips and in the CNSS declaration.
  • CNSS number — the employee's own social security number.
  • Department — see Creating departments.
  • Position — job title.
  • Contract type — CDI (permanent), CDD (fixed term), internship, apprenticeship, consultant.
  • Hire date — drives seniority calculations.
  • Termination date — leave empty for active employees.

Salary

  • Salary type — monthly or hourly.
  • Base salary — gross, in Djiboutian francs.
  • Bank details — bank name, account number, IBAN/RIB. Required for the bank transfer export.

Monthly vs hourly

Monthly employees are paid their base salary, adjusted for absences.

Hourly employees are paid from recorded hours. They need time entries or a work schedule assignment, otherwise the run has nothing to calculate. See Time and attendance.

Deleting an employee

Deleting is a soft delete. The record stops appearing in lists and future runs, but the data remains recoverable by an administrator and finalised payroll history is untouched.

For someone who has left, prefer setting a termination date over deleting. They then drop out of future runs while staying visible in historical reports.

Common questions

Can I import employees in bulk? Not yet from the UI. Add them individually, or ask an administrator to seed them.

What if I do not know the CNSS number yet? You can save without it, but the CNSS declaration will flag the employee. Fill it in before your first declaration.

Does changing a salary affect past payslips? No. Finalised runs hold an immutable snapshot. A salary change applies to the next run.
